Dashboard Overview

Dashboard Overview

Understand the home dashboard, setup checklist, KPI cards, and performance metrics.

Your ViralRef dashboard is the central hub for monitoring your referral program's performance. This guide walks through each section and what it tells you.

Who Sees What

ViralRef shows different views depending on your role:

  • Admins and owners see the full organization dashboard at /home with KPIs, charts, and team performance
  • Regular team members are directed to their personal My Referrals page, where they can track their own referral activity

Setup Checklist

When you first create your organization, the dashboard displays a setup checklist:

  1. Connect your Square account -- already done if you signed up with Square; reconnect anytime from Integrations
  2. Create your first referral program -- template builder saves a DRAFT; activate when you're ready to go live
  3. Invite team members (optional) -- bring staff into the dashboard so they can use My Referrals

Once the required steps are complete, the checklist disappears and your performance metrics take center stage.

Overview Cards

The top of the dashboard displays four primary KPI cards:

MetricWhat It Measures
Total ClicksHow many times your referral links have been clicked
Total ConversionsNumber of referred purchases that have been tracked
Total RevenueRevenue generated from referred customers
Total CommissionsCommissions earned by your referrers

Each card also shows a count of pending items (conversions awaiting approval, commissions not yet paid out) so you can quickly spot what needs attention.

Performance Cards

Below the overview, three secondary cards provide operational context:

  • Active Programs -- How many referral programs are currently running
  • Active Affiliates -- How many referrers have active status
  • Conversion Rate -- The percentage of clicks that result in a tracked purchase

A prominent section displays your organization's join / referral share options, including your personal referral link (for owners and managers) with QR, wallet passes, and printable cards when configured.

Revenue Trend Chart

A 30-day line chart shows daily revenue from referred customers. Use this to spot trends, identify peak days, and measure the impact of promotions or campaigns.

Team Performance Table

If your organization has more than one member, a table ranks each team member's affiliate performance:

  • Name and role
  • Number of referrals
  • Conversions generated
  • Revenue attributed
  • Commission earned

This helps you identify your top-performing staff members and reward them accordingly.

Recent Activity

The bottom of the dashboard shows your most recent 20 conversions, including:

  • Customer name
  • Referring affiliate
  • Amount
  • Commission
  • Status (pending, approved, rejected, fraud)

Click any conversion to see its full details.

Tips

  • Check the dashboard daily to catch pending conversions that need review
  • Use the revenue trend chart to plan promotional pushes on slower days
  • If your conversion rate drops, check that your /ref landing pages are working and that the program is LIVE
  • The team performance table is a great conversation starter for staff meetings
